Privacy Policy

We may collect information that users provide directly to Network Flow AI, including:

• Name, email address, and account information
• Business card information
• Professional contact information
• Company, title, phone number, and other networking details
• Notes, relationship information, introductions, opportunities, and follow-up information
• Event and meeting information
• Content users enter into the application

We may also collect limited technical information such as device type, browser type, IP address, usage information, and application logs for security, troubleshooting, and product operation.

Network Flow AI may allow users to connect their Google account through Google OAuth.

Depending on the features a user chooses to connect, Network Flow AI may request permission to:

• Identify the Google account connected to Network Flow AI
• Send email on the user’s behalf through Gmail
• Access calendar information necessary to display or support networking-related meetings and events

Network Flow AI does not ask users to provide their Google password. Google authentication is handled through Google’s OAuth authorization process.

We only request Google permissions that are necessary to provide features the user chooses to use.

Network Flow AI’s use and transfer of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.

Google user data will not be sold, used for advertising, or transferred to data brokers.

Google user data will not be used to train general-purpose artificial intelligence or machine learning models.

We use information to:

• Provide and operate Network Flow AI
• Create and manage user accounts
• Organize professional contacts and networking activity
• Generate user-requested email drafts and follow-up communications
• Send emails when specifically initiated or approved by the user
• Display connected calendar events when enabled
• Improve application reliability, security, and user experience
• Detect abuse, fraud, or security incidents
• Respond to customer support requests
• Comply with applicable legal obligations

Network Flow AI uses artificial intelligence to assist with features such as drafting emails, organizing contact information, summarizing networking information, and suggesting follow-up actions.

Information may be processed by technology service providers solely as necessary to deliver these user-facing features.

We do not sell user information or Google user data for AI training, advertising, or data brokerage purposes.

We may share information with service providers that help us operate Network Flow AI, such as hosting, authentication, database, email integration, analytics, security, and AI-processing providers.

These providers are permitted to use information only as necessary to provide services to Network Flow AI, subject to applicable contractual and legal requirements.

We may also disclose information when required by law, legal process, or when reasonably necessary to protect users, Network Flow AI, or others from fraud, abuse, security threats, or unlawful activity.

Categories of recipients include:

• Service providers and subprocessors (hosting, authentication, database, email and calendar integration, analytics, security, and AI processing)
• Paddle.com Market Limited, our payment processor and Merchant of Record for all orders, for checkout, subscription management, payments, fraud prevention, tax compliance, invoicing, and refunds
• Professional advisers such as legal and accounting providers
• Authorities or other parties where required by law or legal process

We do not sell personal information.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

When you purchase a subscription, Paddle collects and processes the information needed to complete your order, including your name, billing email, billing address or country, tax identifiers where applicable, and payment details. Card and bank details are entered directly with Paddle and its payment providers — Wade2be LLC never receives or stores your full payment card information.

We receive from Paddle the limited information needed to operate your account, such as your billing email, plan, subscription status, transaction identifiers, and renewal or refund events. Paddle processes payment data as its own controller under the Paddle Privacy Notice.

Refunds are described in our Refund Policy.

Where data protection law such as the UK or EU GDPR applies, we rely on the following legal bases:

• Performance of a contract — creating and managing your account, providing the Service and its features, processing your subscription, and providing customer support
• Legitimate interests — securing the Service, preventing fraud and abuse, maintaining reliability, and improving our product, balanced against your rights
• Consent — connecting optional third-party accounts such as Gmail or a calendar, optional analytics or marketing cookies, and marketing emails, which you may withdraw at any time
• Legal obligation — tax, accounting, and record-keeping requirements, and responding to lawful requests

Free accounts may see sponsored messages from advertisers we work with directly. To report results to advertisers, we record when a sponsored message is viewed or tapped, along with which message, campaign, and screen location it appeared in, and the time.

These reporting records do not include your name, email, contacts, business card information, or any device or advertising identifier, and they are not linked to your account. Individual records are deleted after 90 days; we keep only overall daily totals. Advertisers receive totals only, never information about individual users.

Separately, to prevent duplicate counts and abuse, we briefly keep your account ID alongside each event for up to 24 hours, after which it is deleted. This short-term record is used only for fraud prevention and is never shared with advertisers.

A small number of older advertising records saved before this system was introduced do contain account IDs. No new records of that kind are being created, and those older records are being deleted on the same 90-day schedule; their counts were copied into the anonymous daily totals first.

We do not use third-party advertising services or software development kits, and we do not track you across other apps or websites.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, loss, misuse, alteration, or disclosure.

No internet-based service can guarantee absolute security.

We retain information only for as long as reasonably necessary to provide Network Flow AI, maintain legitimate business records, comply with legal obligations, resolve disputes, and enforce agreements.

Users may request deletion of their account and associated personal information as described below.

Users may disconnect their Google account from Network Flow AI through the application when that option is available.

Users may also revoke Network Flow AI’s access through their Google Account security settings.

Revoking access prevents future access through that Google authorization but may not automatically delete information previously provided to or created within Network Flow AI.

You can permanently delete your account in the app under Settings → Account → Delete account, or without the app at networkflowai.com/delete-account. We first verify that you own the account (by password, Google, Microsoft, or a link emailed to the account address). Deletion then happens immediately.

Deletion removes your login, profile, contacts, notes, card photos, events, follow-ups, drafts, calendar meetings, connected account credentials (with access revoked where the provider allows), referral, usage and support records, and any team you own. Active subscriptions are canceled at the same time; if cancellation fails, nothing is deleted and we ask you to contact support.

We retain only: anonymous aggregate totals that do not identify you; payment records held by Paddle as merchant of record under its own legal obligations; and data in our hosting provider's daily database backups, which are kept for about 14 days, and in short-term server logs (the provider does not publish an exact log retention period). Messages you sent and records synced to your own CRM remain with those recipients and services. Questions: hello@networkflowai.com.

Network Flow AI may use cookies, local storage, or similar technologies required for authentication, application functionality, security, preferences, and analytics.

Network Flow AI is intended for professional and business networking and is not directed to children under 13.

We do not knowingly collect personal information from children under 13.

Depending on where you live, you may have legal rights relating to your personal information, including rights to request access, correction, deletion, or other controls over your information.
